Fields, delivery and read receipts

Everything derivable is derived from the schedule, scenes, breakdown and locations. What is left is the day's practical detail, and that is deliberately the only thing you have to write.

What fills itself in

All of this comes from work already done elsewhere in the project.

What you fill in

Field Why it can’t be derived
Weather A forecast is a judgement about whether the day survives. Worth a human reading it.
Parking Where the unit actually parks is a negotiation, not a data point.
Nearest hospital Legally and practically the most important line on the sheet. Check it per location.
Notes The access quirk, the noise restriction, the thing that went wrong yesterday.
Per-person call times Where somebody’s call differs from the general call.

Two delivery routes, one send

In-app

Anyone on CinemaCrew gets it in their Call Sheets tab with their own call time at the top rather than buried in a grid, and their read is recorded.

Email

Everyone else gets a PDF. The send is queued and retried, so a momentary mail failure doesn’t silently lose a call sheet.

Read receipts

Every recipient is tracked individually: sent, delivered, opened. Crew can acknowledge from the app, and the office sees it immediately.

The value isn’t surveillance, it’s that the 1st AD stops spending an hour of the evening ringing round to ask whether people have seen tomorrow’s call. The three names that haven’t opened it are the three calls worth making.

Status and PDFs

A sheet is a draft until sent, which means you can build tomorrow’s during today’s shoot without anyone seeing a half-finished version. Once sent it’s fixed; changes mean a re-send, which is the correct behaviour. A call sheet that silently changes under people is worse than no call sheet.
