Props vs Breakdown vs Scouting
Scouting answers where do we get it. Breakdown answers what does this scene need. Props answers what does it look like. A script import fills all three, linked.
Which tab am I in?
| Tab | Who uses it | The question | What a row holds |
|---|---|---|---|
| Scouting | Art department, buyers | Where do we get it? | Vendor or rental house, daily rate, photos, and a status: to find, scouted, reserved, rented, returned or passed |
| Breakdown | 1st AD, production | What does this scene need? | One of 15 categories, from props and SFX to animals and grip, tagged to scenes, with a prep status: todo, ready, on-set or wrapped |
| Props | Production design | What does it look like? | Category, scale, description, a picture, and the scenes it is in |
A script import adds each prop, vehicle and animal to all the tabs it belongs on at once. An element you add on the Breakdown gets its Scouting item too. A prop you add straight to the Props tab stays on its own.
How they link
Script import. The review step lists props, set dressing, vehicles and animals found in the action lines. Each one you keep becomes a Breakdown element tagged to its scenes and a Scouting item marked To find. Props, set dressing and vehicles also become a prop here. A rule made there can point a word in the script at something already on the Scouting board.
Breakdown and Scouting stay in step. Rename either and the other follows. Reserve or rent the Scouting item and the element turns Ready. Delete one and the other goes too, unless the Scouting item already has a vendor, photos or a rental.
Breakdown to Props. For an element you added by hand, Add to Design makes a prop here with the same scene tags, and the button changes to In Design ✓. The new prop shows a blue Breakdown badge. The prop doesn’t follow later changes to the element: its look is the art department’s to change.
Which do I need?
On a small shoot, the Breakdown is often enough: it’s the list of what each scene needs, and it feeds the schedule and the call sheet. Work the Scouting list when you’re renting, and the Props tab when the look matters.
