Adding Your Crew

TL;DR — Quick-Add builds your crew roster for budgeting, deal memos, and scheduling. Invite by Email gives someone actual login access to your project. Most crew members start as quick-adds; invite only the people who need to collaborate in the app.

The Team Tab

The Team tab lives in your project dashboard. It shows your full crew roster — both placeholder entries you’ve quick-added and collaborators who have accepted an invitation. You’ll see the member list on the left, quick-add buttons at the top, and the invitation form below.

Quick-Add vs. Invite

Key Distinction

Quick-Add Crew creates a placeholder roster entry. No account is created, no email is sent, and the person gets no app access. Think of it as adding a name to the call sheet — useful for budgeting, day-rate tracking, deal memos, and scheduling.

Invite by Email sends a real invitation email with a unique link that expires in 7 days. When the recipient clicks the link, signs in, and accepts, they gain login access to your project and appear as a linked team member.

Quick-Add Buttons

At the top of the Team tab you’ll see buttons for common crew positions: Director, Producer, Director of Photography, 1st AD, Editor, Gaffer, Key Grip, Sound Mixer, Costume Designer, Location Manager, Production Designer, and Production Coordinator. Click any button to instantly add a placeholder member with that role.

Each quick-add creates both a TeamMember record and a ProjectCrewPosition record in a single step. The crew position is linked to the global position database, so department groupings and default day rates carry over automatically.

Adding Your First Crew Member

  1. Open your project and navigate to the Team tab.
  2. Click one of the quick-add buttons (e.g., Director).
  3. A new entry appears in the member list with the role pre-filled.
  4. The position is now tracked in your budget and available for deal memos.
