Exporting & Managing

TL;DR — Export any memo as a PDF, soft-delete deals you no longer need, and share the PDF link directly with crew.

PDF Export

Click the Export PDF button on any deal memo to generate a professional contract document. The PDF can be accessed two ways:

  • Authenticated — Through the app, using the memo’s ID. Only project members can access this.
  • Public via signing token — The crew member can access their PDF through the same signing link, no login needed.

What’s in the PDF

The exported PDF includes everything needed for a complete contract record:

  1. 1 Header — Project name, crew member name, and deal date.
  2. 2 Terms table — All deal terms laid out in a clean table format.
  3. 3 Numbered clauses — All enabled clauses with placeholders filled in.
  4. 4 Signature blocks — Rendered signature images with names and dates for both crew member and producer.

Uploading a Signed Copy

For deals signed on paper or outside the electronic flow, you can upload a scanned or photographed copy of the physical document. This keeps a digital record alongside the generated deal memo.

  • Accepted formats — PDF, JPEG, PNG, HEIC, WebP, and TIFF (up to ~15 MB). HEIC photos from iPhone are automatically converted to WebP.
  • Scan badge — A blue “Scan” badge appears on the memo card once a document has been uploaded.
  • View Scan — Opens the uploaded document in a new browser tab.
  • Replace Scan — Upload a newer version to replace the existing scan at any time.

Soft-Deleting Memos

Deal memos are never permanently destroyed. When you delete a memo, it’s soft-deleted — hidden from the main list but still recoverable. To manage deleted memos:

  • Toggle Show Deleted to reveal soft-deleted memos.
  • Click Restore on any deleted memo to bring it back.

Tips

  • Export after countersigning — Wait until the deal is fully executed so the PDF includes both signatures.
  • Share the PDF link — Crew members can access their PDF through the signing token URL without needing an account.
  • Keep drafts tidy — Soft-delete test memos or abandoned deals to keep your Deals tab clean.
