Sending to Cast & Crew

Press Send Callsheet to email the PDF to your team. A confirmation lists exactly who will receive it — the cast and crew on your Team who have an email address. Confirm, and everyone gets the callsheet as a PDF attachment. The day then flips to Sent and records who it went to.

Before You Can Send

Send Callsheet sits next to Download PDF in the action bar at the bottom of a day’s callsheet. Both stay disabled until every location on the day has an address — if the button is grayed out, add the missing addresses first (see Preparing a Callsheet). Any attachments you toggled on, such as the shot list or storyboards, are included in the emailed PDF just as they are in the download.

Who Receives It

Pressing Send Callsheet opens a confirmation dialog that lists every recipient before anything goes out — no surprises. Recipients are pulled from your Team: the cast and crew who have an email address on file. Each row shows the person’s name, their role, a Cast badge for performers, and the email the callsheet will reach them at. The dialog confirms the callsheet will be “emailed as a PDF” to that many recipients.

No Recipients Yet?

If nobody on your team has an email address, the dialog tells you so — “No team members with email addresses found” — and offers a Go to Team shortcut. Add your crew and cast (with emails) on the Team tab, then come back and send. Callsheets can only reach people who have an email on their team profile.

Sending

When the recipient list looks right, press the confirm button — it reads Send to N people and switches to Sending… while it works. Each recipient receives an email with the callsheet PDF attached, and you’ll get a confirmation that the callsheet was sent to that many recipients. Need to bail out? Cancel closes the dialog without sending.

After Sending

Once a callsheet is sent, its status badge turns to Sent (green) on both the detail page and in the Callsheets list. Back on the list, the day’s row picks up a Last sent line showing when it went out and how many recipients received it. If plans change, you can update the day and send again at any time — each send is tracked, so the “last sent” stamp always reflects the most recent version your team received.
